For users handling many transactions, things can get complicated. You'd need to switch between the core dashboard, accessing both the admin and teller sections, and then jump to an entirely separate platform for teller services. It's a lot to keep track of.

The Problem

Creating a smart system for cooperatives to manage their transactions efficiently. Think of it as a central hub with two dashboards – one for the cooperative's team and one for its members – plus a handy mobile app.

I’m carefully designed it so all three parts work together flawlessly. This system will make life easier for cooperatives inside companies or organizations, giving them a clear, connected view of their finances

The issue is that this teller portal is authorized based on user permissions, and its function is essentially the same as the teller service system platform. The goal is to merge both into a single system on one platform.

The business challenge How does the Coop system ensure transparency and allow for easy tracking of transactions?

My role as a Senior UI/UX Designer, I collaborate with teams from Indonesia and Nairobi. I work cross-functionally to ensure efficient problem-solving and smooth progress, especially when challenges arise during the design or development processes.

Before, things were a bit clunky

You'd have to work in two separate places to handle activations or transactions. Data moved between them,

but you had to move yourself, constantly jumping from one platform to the other. It definitely slowed things down

After the transition, things became significantly smoother

We noticed a real pain point for users with lots of different access levels. Juggling transactions was becoming a headache. So, we built a transition stage to smooth things out and make those tasks much easier

Transaction Process

The cooperative provides a range of loan options designed to meet unique needs. The secure and efficient payment system ensures smooth transactions every time. During the loan application process, conduct a thorough survey to verify the trustworthiness of applicant data. User also receive a clear and concise summary of user loan application, highlighting all the important details.

The problem in this process and make it more user-friendly, here are some considerations and suggestions for improving the data collection and upload experience:

By addressing these points, users will have a smoother, more intuitive experience when uploading their data, and the process will feel much more human-centered.

Streamline Document Upload Process

Limitations: Right now, users can only upload one document at a time. This can be frustrating if they need to upload multiple files.

Improvement: Allow users to select and upload multiple files simultaneously. This would save time and reduce frustration.

File Size Limits

Problem: The upload size might be limiting users from uploading larger documents.

Improvement: Display the file size limit clearly near the upload button so users are aware. Consider allowing larger file uploads or providing a compression option directly in the interface.

Data Storage Options

Problem: There might be concerns about where users' data is stored and how secure it is.

Improvement: Offer transparency about data storage. For example, provide a small FAQ or info bubble explaining where the files are stored, how long they will be kept, and what security measures are in place.

Progress Indicators

Problem: Users may not know if their file upload is successful, especially for larger files.

Improvement: Include a progress bar that shows users the status of their upload, so they are aware of how much longer it might take.

Clarify Upload Instructions

Problem: There's a lack of information for users on how to upload their data.

Improvement: Provide clear instructions or tooltips on the upload page. For example:

  • "Click to upload or drag and drop"

  • "jpeg, png, pdf (max file size 25MB)"

Error Message Transparency

Problem: Error messages due to backend issues can be vague and unhelpful.

Improvement: Provide more user-friendly error messages. For example:

  • "Oops! It seems there was an issue with the upload. Please check your internet connection or try uploading a smaller file."

  • Offer suggestions to resolve the issue, such as reducing the file size or verifying file types.
